PURPOSE OF THE JOB

The Work Force Management Coordinator ensures optimal workforce planning and allocation to enhance operational efficiency across Club Med’s resorts. This role involves analyzing staffing needs, creating and managing schedules, and collaborating with department managers to meet staffing demands while ensuring compliance with labor laws and internal policies.


GENERAL MISSIONS

1) Workforce Planning and Forecasting

  • Analyze historical data and activity forecasts to anticipate short, medium, and long-term staffing requirements.
  • Develop optimized schedules in line with legal, contractual, and employee preferences.
  • Participate in defining personnel budgets and managing staffing resources efficiently.

2) Schedule Management

  • Create, update, and oversee work schedules using available time management tools.
  • Ensure scheduling compliance with labor regulations, including rest periods and working hours.
  • Manage leave requests, absences, and replacements while maintaining schedule stability.

3) Performance Monitoring and Reporting

  • Track key workforce performance indicators (KPIs).
  • Analyze gaps between forecasts and actual performance, and propose corrective actions.
  • Prepare regular reports on workforce utilization for management.

4) Collaboration and Support

  • Work closely with department managers to understand and respond to their staffing needs.
  • Serve as the primary contact for employees regarding scheduling and work organization questions.
  • Contribute to continuous improvement projects related to planning and workforce management processes.

5) Regulatory Compliance and Adaptation

  • Ensure adherence to labor laws, collective agreements, and internal policies.
  • Stay informed of regulatory changes and implement necessary updates in workforce planning processes promptly.
  • Provide guidance to managers on compliance-related aspects of scheduling and staffing.

6) Leadership & Management

  • Create a structuring and inspiring framework: Provide a clear and engaging environment, give meaning to actions and embody the Club Med Spirit.
  • Develop and empower teams: Help them develop their skills, encourage autonomy and initiative.
  • Ensure operational excellence: Manage performance with rigor and benevolence, optimizing time and resources.

KPI (position requirements objective)

  • Schedule Accuracy: Percentage of schedules executed without deviations or errors.
  • Workforce Utilization Rate: Effectiveness in assigning tasks and optimizing resources.
  • Response Time: Average time to process and resolve employee and manager scheduling inquiries.
  • Budget Alignment: Percentage alignment of actual staffing costs with planned budgets.
  • Employee Satisfaction: Feedback scores on scheduling fairness and efficiency.
